Item Title:Fat Bike Beach Championship

Background:

Set Up Events is a full-service production, registration, and timing company for participatory sports, triathlons, and running events. For the last three years, they have hosted a U.S. Open Fat Bike Beach Championship in Wrighsville Beach, NC and are interested in expanding their event to a second location in the southeast. The Amelia Island Tourist Development Council is interested in creating a new event to draw visitors here in October since this month is slow for lodging partners, shops and businesses and they have been corresponding with Set Up Events about the possibility of hosting their second Fat Bike Event here on Saturday, October 14, 2017.

 

As a result, TDC is requesting permission from the Board to host the U.S. Open Fat Bike Beach Championship on the beach from Peters Point Beach Front Park, south to approximately 4210 S. Fletcher Avenue (just inside the City limits). Attached is a summary of the event which includes the proposed course, information about set up and breakdown, and how they will accommodate any turtle nests or hatchlings. They have been in contact with the Florida Department of Environmental Protection to insure that a permit is not needed. Staff also confirmed this as well. (see email attached)

 

Lastly, the TDC is requesting permission to utilize Peters Point Beach Front Park for participant and spectator parking and for access to restrooms. If approved, staff recommends the Board approve this request with the understanding that all handicapped parking spaces and a minimum of 10 regular parking places be available for the general public and that the access road to the beach remain open at all times.

 

Event organizers have indicated that they will work with the Nassau County Sheriff's Office to assist with crowd and traffic control, and with Nassau County Fire/Rescue in case of a medical emergency. Staff will insure that a hold harmless is signed and that the necessary insurance documents are provided and reviewed by Risk Management.
