BOCC AGENDA ITEM

Item Title:Approval of Replacement Microsoft Agreement
Date:12/11/2017
Department:Technical Services
Background:
On November 30th, 2017, our current  Enterprise Enrollment and Microsoft Volume Licensing Agreement will be expiring (CM2190).  Every three years it expires and must be replaced with a new contract when there are modifications to the user and device counts.   After working with SHI for the past couple of months to verify what we needed and no longer needed to save the county money, SHI submitted our new contract request to Microsoft.  This initially needed to be signed and submitted to Microsoft by December first to keep services active, but Microsoft is giving an extension due to the delays caused by Hurricane Irma.
Request:
Approve and authorize the Chairman to sign the new Microsoft Enterprise Enrollment and Microsoft Volume Licensing Agreement, Contract No. CM2508, for continued use of Microsoft Office by County staff.
Financial/Economic Impact to Future Years Budgeting Process or Effect on Citizens:
$51,159.86 per year for three years.  Total impact is $153,479.58.
Action Requested and Recommendation:
Technical services requests that the Board Approve of the new Microsoft contract.  It will be purchased through SHI, Inc. using the Microsoft Florida state contract # 43230000-15-02.  Approval will mean that the county can keep access to all of its email and other Microsoft licensed products.  Once the existing contract expires the county will risk having access to all services terminated.
Is this action consistent with the Nassau County Comprehensive Land Use Plan?
NA
Funding Source:

NA
Does the document need to be recorded? If so, who will pay the recordation fee?
Are there any special mailing instructions? (Include contact name, address, deadline for submittal, how to mail such as express mail, FedEx, etc):
A scanned copy of the contract and P.O. from Finance will need to be emailed to SHI Inc.  no later than December 27th to allow time for them to process the contract and get it to Microsoft before the one month extension expires with the start of the new year.
How many originals are needed?
No originals are needed by SHI or Microsoft.  They will accept a scanned and emailed copy of the signed contract.
