BOCC AGENDA ITEM

Item Title:Ten-8 Letter of Intent for Three (3) New Rescues
Date:7/25/2022
Department:Fire Rescue
Background:

Nassau County Fire Rescue has one (1) Rescue unit on backorder in FY 20/21 FRP, and two (2) Rescue units on backorder in FY 21/22 (FRP). They are expected to be delivered by the end of 2022, subject to chassis availability.

Nassau County Fire Rescue has one (1) Rescue unit slated for purchase in FY 22/23 FRP, and two (2) Rescue units slated for purchase in FY 23/24 (FRP).

Due to supply chain issues, chassis manufacturers are not producing enough chassis to keep up with demand for orders. The vendor, Ten-8, has suggested that we give a letter of intent for our next two fiscal years' purchases to secure a spot in the chassis order queue and lock in current pricing. Failure to do so would place us at the bottom of the ordering queue, behind all current in-process orders and all pre-orders.  The letter of intent should not be construed to be legally binding or a commitment of funds at this time.

Repair costs for our current fleet are increasing and our current fleet continues to age. Out of necessity, units are being kept past their economical replacement point.

Nassau County will be piggybacking the Florida Sheriff's Association contract in accordance with the County’s purchasing policy.

Request:
Approve and authorize the Chairman to sign a letter of intent prior to July 28, 2022 to Ten-8 Fire Equipment Inc. to reserve for future fiscal years, the option to purchase three (3) Braun Chief XL Ambulances on Ford F550 4x2 gas chassis per cost as set in the attached Proposal #57772-2.
Financial/Economic Impact to Future Years Budgeting Process or Effect on Citizens:

These Rescues have been approved under the Fleet Replacement Plan.

Signing the letter of intent locks in the pricing for the ambulance module and secures a spot in the production queue for the chassis. 3 x $324,265.00 = $972,795. The chassis price is subject to change per the terms of the Florida Sheriff's Association contract.

Delays in replacing rescue units result in increased maintenance costs for existing units.
